How To Create a Folder


Navigate to the subsite or Home Page.



Step 1. Click the “Library” link in the top toolbar.  This will open up a page that list all of your folders in the library.

                                                                                                                                                                                   





















Step 2.  Click on the Add Icon


Step 3. Creating the Folder - Tab down it generates the folder URL.  The Description area helps to describe the folder contents and their purpose.  The Metadata is a section that is utilized in the event that you need assistance finding and categorizing items. 



Folder View - gives you options of how you want displayed in the folder.  

            * Automatically Detect (Default):  Detects the best option from the list based on the majority of items in the folder. If there isn't a majority, then mixed content is used.
            * Documents: Defaults to list view, with the columns; Title, Last modified By, Last Modified, Type & Size.
            * Images: Defaults to tile view. List view has the columns; Title, Last Modified By, Last Modified, Type, Size & Resolution. 

            * Videos: Defaults to tile view. List view has the columns; Title, Last Modified By, Last Modified, Type, Size, Duration & Resolution
            * CMS Pages: Defaults to list view, with the columns; Title, Last Updated In, Last Modified By and Last Modified.
            * Mixed Content: Defaults to list view, with the columns; Title, Last Updated In, Last Modified By, Last Modified, Type & Size.



Step 4. Select the security level and access to this folder.  Security tells outlines who can read, modify and delete the folder as well as its content.

  • DENY ACCESS - Access is denied to item
  • READ ONLY  - The item can only be viewed
  • CREATOR - Can create content (e.g Pages/Documents) but can only edit/delete content that they have created

    Content that is created/edited will need to be approved in applications where an approval process is implemented

    Cannot change the site structure (e.g. add a new Folder/Category)

    Cannot set security

  • CONTRIBUTOR - Can create/edit content (e.g. Pages/Documents) but can only delete content that they have created

    Content that is created/edited will need to be approved in applications where an approval process is implemented

    Cannot change the site structure (e.g. add a new Folder/Category)

    Cannot set security

  • EDITOR - Can create/edit/delete content (e.g. Pages/Documents) and content is automatically approved

    Can create/edit/delete sections of the site structure (e.g. add a new Folder/Category)

    Cannot set security

  • FULL CONTROL USER - Can create/edit/delete content (e.g. Pages/Documents) and content is automatically approved

    Can create/edit/delete sections of the site structure (e.g. add a new Folder/Category)

    Can create/edit/delete templates in applications where templates are applicable (e.g. for web pages create in CMS)

    Can set security

Step 5. The user can also add or remove Owners in the owner column.  Please see the image below.

** (SPECIAL NOTE: If the user wants to go back and make changes, then click on the Previous tab otherwise click on Create to finally create the folder.) **



Editing a Folder

  1. Navigate to the folder which has to be edited by clicking on the checkbox associated.
  2. Once at the folder, select Actions from the Editing Toolbar.(image)

  1. There are (3) areas that you can select to Edit a Folder.
  2. Select Edit Properties - this opens a page to edit folder.  You are allowed  to make updates to the; Title, URL, Description - (which also includes links,  #Channels, and @Mentions)MetadataFolder View, Security, Owners.


  1. Select the area that you want to update.
  2. Once changes have been made select the OK button located at the bottom of the popup.(image)
