Note: In order to be able to create a new layout, users should make sure that a template is available for use. Templates can be selected from other subsites, and made available for use within the desired subsite as explained below. In case there are no templates available for use, a new subsite template will need to be created from scratch.

1. Go to the subsite for which a new layout has to be created.

2. Click on the Manage layouts option.

3. Now, click on the ‘Select Templates’ option on the top toolbar.

4. A list of template/templates will pop-up. Select one or more templates by clicking on the checkbox and then click on the Select button. 

    (Note: If there are no templates available to choose, then user will have to create a new subsite template to use.)

5. After selecting the required templates, the user will be redirected to the Layout Manager screen. Users can view the available templates under the Subsite Templates tab.

6. Now click on the Add tab in the context menu and then select Layout from the drop-down menu. 

7. Enter the layout details in the New Layout wizard:

Step 1- Details

  • Title: Give a specific name to the layout.
  • URL: Gets auto-populated based on the title and constitutes the link to access the layout.
  • Description: Give an appropriate description for the layout for better search results.
  • Select Template - Click on the Select Template button and a list of available templates will be displayed. Click on the radio button corresponding to the desired template and click Select.

  • Delayed Publishing and ExpirySet the layout to appear on the intranet after a certain date and time in the future. To remove the layout from the intranet set an expiry date and time.
  • Click on Next if you would like to set additional properties to the layout. Or click Create to complete the layout  creation with default settings for Security, Owner etc.

Step 2- Security

  • The security can be set for the layout in order to control the users who will have access to read, edit, create or contribute. The users can be added via the text box under Add Users tab and their security can be assigned by selecting the security level from the drop-down menu.
  • Click Next to navigate to Step 3

  • Specify the Layout owner(s). Search for a user by typing their name under Add Owner section and select them by clicking on the user's name. Users can be removed from the owners list by selecting the appropriate check box and clicking the Remove button just above the owners list.

  • After adding the owners, click on Create. (Click on Previous button to go back to Step 2)

You will now be redirected to the editing interface of the layout, where you can add your content using different components.

  • Adding Components:
    • Click on ‘Components’ tab on the top toolbar.

    • Select the desired component and drag it to the required cell.

  • Saving a Layout:
    • Click on the Save tab and a drop-down list will appear. The user must select one of the stages to save the layout. 
  • There are three stages:
    1. Draft: when a layout is in Draft, it can only be viewed and edited by the user who has saved the draft.
    2. Staging: when a layout is in the Staging mode, it can only be viewed and edited by the users with certain Security Level.
    3. Live: when a layout is live, it cab be viewed by users with the Security Level to view that area of the site.
  • While saving, the user can directly apply the layout to the subsite by clicking on the checkbox for Apply this layout to the subsite immediately, so that users will see the new layout when they navigate to the subsite URL.
  • Click Save.
