Add a Room

    Login to the Admin to complete the steps below.

1. Select Add Room from the Meeting Room Booking menu


2. Enter the Details as required. Choose the location where the room is to be configured. This association also determines the list of facilities, facility managers and caterers that will be available for this room.

The Name, Description and Seats will be displayed in the Front End assisting users in selecting the right room for their needs.

Assign a Color for the room. Every booking for the room will be displayed in the selected color in the application in the Front End.

The Available in Calendar checkbox, if selected, will permit Company Calendar Administrators to display this room and bookings within their calendar.

Select the Active checkbox to make this room available to be viewed and booked by users in the Front End.

3. Click Next to continue

4. Tick the applicable checkboxes, to select the Facilities available to this room. Users will then be able to choose a facility while making a booking for the room in the Front End. (Facilities may be shared with other rooms and are managed by the Facility Manager)



5. Click Next to continue

6. Set the Security for this Room and click Next. To read on the different levels of security for this application, click here.



7. Review the details added. Click Back to make changes or click Finish to save.



To Edit a Room: 


   Login to the Admin to complete the steps below.

1. Select Edit Room from the Meeting Room Booking menu



2. Select View Rooms for the applicable location


3. Click Edit for the applicable room


4. In the Details tab, make changes to any of the below properties:

  • Name, Description, Seats
  • The Color associated with the room
  • Available in Calendar - selecting this checkbox will make the room bookings for this room available to be displayed in Calendar application
  • Select Active to make this room available to users on the Front End





5. Select or deselect any facilities from the Facilities tab based on their availability for this room. (Facilities may be shared with other rooms and are managed by the Facility Manager)


6. Modify the security settings for this room in the Security tab.


7. Click Apply to save the changes and continue editing. Click OK to save and return to the list of rooms.
